1. Scope
This Privacy Policy describes the information practices for the Tunu Library website and related account, catalog, borrowing, reservation, notification, membership, and payment features. It is a working draft based on the current application implementation and must be reviewed for applicable law and the library’s final operating practices before publication.
2. Information we collect
Depending on how you use the service, Tunu Library may collect or receive the following categories of information:

Passwords should be stored as password hashes rather than plain-text passwords. Tunu should never need your M-Pesa PIN.
3. How we use information
Tunu Library uses information to provide and improve the library service, including to:
- create, authenticate, and protect member accounts;
- display books, search results, availability, reservations, borrowings, due dates, and payment status;
- activate or renew membership and determine borrowing eligibility;
- record borrowing and reservation activity and coordinate pickup and returns;
- start and reconcile M-Pesa payments and prevent duplicate payment attempts;
- send service notifications and, where configured, account or transaction emails;
- monitor errors, investigate misuse, maintain security, and keep the service reliable; and
- comply with legal obligations or respond to lawful requests.
5. Payments and M-Pesa
When you start a payment, Tunu may send the entered phone number, amount, account reference, and transaction description to the configured M-Pesa service. The payment provider may process additional information under its own privacy policy and terms.
Tunu records payment status and a provider transaction reference when returned. The current application does not store your M-Pesa PIN. Do not send a PIN to Tunu staff or enter it anywhere other than the official M-Pesa prompt.
7. Retention and deletion
Tunu should keep information only for as long as needed for the purposes described here, including account operation, borrowing and reservation history, payment reconciliation, security, dispute handling, and legal obligations. The library should set and publish specific retention periods for inactive accounts, borrowing records, payment records, notifications, and security logs.
If you request account deletion, some records may need to be retained in a minimized or anonymized form where required for accounting, security, fraud prevention, legal compliance, or unresolved library obligations.
8. Security
Tunu uses reasonable technical and organizational safeguards appropriate to the service, including password hashing, authenticated sessions, access checks for member and administrator actions, and protected payment callbacks. No internet service can guarantee absolute security.
Tell the library team promptly if you suspect unauthorized account access, an incorrect borrowing, a payment mismatch, or a security problem. Do not include your password or M-Pesa PIN in a support message.
9. Your choices and requests
Subject to applicable law and reasonable verification, you may contact Tunu to request access to, correction of, or deletion of personal information associated with your account. You may also ask questions about how your data is used, withdraw from optional communications where available, or request help with a payment or borrowing record.
To protect members, Tunu may need to verify your identity before fulfilling a request. The library should add the specific rights, response timelines, complaint route, and responsible privacy contact required by the law that applies to its operations.
10. Changes and contact
This policy may change when the application, payment provider, library operations, or applicable legal requirements change. The published version should show its effective date and a clear summary of material changes.
